Creating an Invoice
Create a new invoice from tracked time, expenses, or custom line items and send it to your client.
Voltasis makes it easy to create invoices from your tracked time and expenses. You can also add custom line items for flat fees or other charges.
Create a new invoice
- Go to Invoicing in the sidebar.
- Click New Invoice.
- Select a client (or enter client details if on the Free plan).
- Set the invoice date and due date.
- Choose a currency (defaults to your organization's currency).
Add time entries
- Click Add from Time Entries.
- Select the project and date range.
- Choose which entries to include — only approved, billable entries are available.
- Entries are grouped by project and added as line items.
Add expenses
- Click Add from Expenses.
- Select billable expenses to include.
- Expenses are added as separate line items with their receipts attached.
Add custom line items
- Click Add Line Item.
- Enter a description, quantity, and unit price.
- The line total is calculated automatically.
Review and finalize
- Review all line items, amounts, and taxes.
- Add a note or payment instructions at the bottom of the invoice (optional).
- Click Save as Draft to save without sending, or continue to send.
Tip: Draft invoices can be edited freely. Once sent, an invoice is locked — you can only void it or create a credit note.
Invoice numbering
Voltasis automatically generates sequential invoice numbers. You can customize the prefix in Settings > Invoicing.
