Project Billing Methods

Understand Time & Materials, Fixed Price, and Non-Billable billing methods for projects.

Every project in Voltasis has a billing method that determines how tracked time translates into invoiceable amounts. Understanding billing methods helps you set up projects correctly and generate accurate invoices.

Time & Materials (T&M)

Time & Materials is the most common billing method. You bill clients based on the actual hours worked at specified hourly rates.

  • How it works: Each time entry is multiplied by the applicable hourly rate to calculate the billable amount.
  • Rates: Set a default project rate, or configure per-member rates for different team members.
  • Best for: Consulting, development, design, and other work where scope is flexible.

Fixed Price

Fixed Price projects have a flat fee regardless of how many hours are worked.

  • How it works: The project has a total price. Time tracking is used for internal cost tracking, not client billing.
  • Invoicing: You choose when and how to invoice — as a single payment, milestone-based, or percentage-based.
  • Best for: Deliverable-based work with a clear scope and agreed price.

Non-Billable

Non-Billable projects track time for internal purposes only. No invoiceable amounts are generated.

  • How it works: Time entries are recorded but have zero billable value.
  • Use cases: Internal meetings, training, admin work, personal projects.
  • Reports: Non-billable time still appears in reports, helping you understand where time goes.

Change a billing method

  1. Open the project and go to Settings.
  2. Select a new billing method from the dropdown.
  3. Click Save.

Tip: Changing the billing method only affects future time entries. Existing entries keep their original billable amounts.

Set hourly rates

For Time & Materials projects:

  1. Open the project and go to Settings > Rates.
  2. Set the default rate for the project.
  3. Optionally, set per-member rates to override the default for specific team members.
