Seat Management and Proration
ProUnderstand how seats work, how adding or removing team members affects your bill, and how proration is calculated.

On the Pro plan, you're billed per seat (active team member). This article explains how seats work and how changes to your team size affect your billing.
What counts as a seat
Every active team member in your organization counts as one seat, including:
- The account owner
- Admins
- Managers
- Employees
- Contractors
Deactivated team members do not count as seats.
View your seat usage
- Go to Settings > Billing.
- The Seats section shows your current usage: active seats vs. your plan capacity.
Adding seats
When you invite a new team member:
- The new member counts as an additional seat.
- Your next invoice is increased by the prorated cost of the new seat for the remaining days in the billing cycle.
For example, if you add a seat halfway through the month, you're charged for half a month at the per-seat rate.
Removing seats
When you deactivate a team member:
- The seat is released at the end of the current billing cycle.
- You receive a prorated credit for the unused portion of that seat.
- Your next invoice reflects the reduced seat count.
Proration explained
Voltasis uses day-based proration:
- Adding a seat: You're charged for the remaining days in the current billing cycle.
- Removing a seat: You receive a credit for the remaining days.
- Credits are applied to your next invoice automatically.
Tip: You can see a breakdown of prorated charges in your invoice history at Settings > Billing > Invoice History.
Annual billing
If you're on an annual plan, proration works the same way but over a 12-month cycle. Adding a seat mid-year charges you for the remaining months at the per-seat monthly rate.
